Rates are in EUR, per room, per day (breakfast, city tax and VAT are included).
During registration process, please state if you need accommodation- according to your registration, room reservation will be done.
Hotel reservation will be made on a first-come, first-served basis.
Accommodation capacities will be filled according to the receipt of the reservation and payment, until filled.
Accommodation booking is available only for the conference participants.
PLEASE NOTE THAT ONLY AFTER THE ACCOMMODATION PROFORMA/ INVOICE IS SETTLED YOUR HOTEL RESERVATION IS CONSIDERED VALID.
Terms and conditions of accommodation cancellation
Any cancellation or changes must be sent to the Technical Organizer – rh.bergaz-atnep@naloks.ana – in official written e-mail.
PARTICIPATION CANCELLATION (REGISTRATION FEE):
- Cancellation of participation until 25th December 2025 is possible with a full refund.
- For cancellation of participation from 26th of December 2025 to 25th of January 2026, the refund will be reduced by an administration fee of EUR 80 per participant.
- For cancellation of participation from 26th of January 2026, the registration fee cannot be refunded.
ACCOMMODATION CANCELLATION:
- Cancellation of accommodation until 24th December 2025 is possible with a full refund.
- Cancellation of accommodation from 25th of September to 11th of January 2024 is possible, with a note that the costs of the first night will be charged.
- For cancellation of accommodation from 12th of January 2026, in case of non-arrival at the hotel, late arrival or early departure, the participant is obliged to cover the costs of the entire accommodation.
- In case of arriving at the hotel later than planned (refers to the date of arrival), it is necessary to notify the hotel or the organizer. In case of no-show, there is a possibility that the accommodation will be charged and will no longer be available.
Terms and conditions
Registration and accommodation booking is done through the online registration system owned by the Penta agency. All personal information entered during the creation of a participant profile will be used exclusively for the purpose of the EWIC2026.
All participants will receive a confirmation email with all the data you have entered while making the registration.
Please note that only after the participation fee is settled your registration is considered valid.
Payment
All payments for the EWIC2026 must be made according to the conditions shown during your registration process. Registration badges will not be issued until payment is made in full.
- A possible form of payment: credit card and bank transfer.
- We accept the following credit cards: American Express, Eurocard /MasterCard, and Visa.
- For online credit card payment, upon providing your personal details in the online form, you will be automatically redirected to the WorldPay secure payment site before confirming your registration on the final page of the form.
- For bank payments: please insert the proforma number under the “call number”.
- All bank charges are the responsibility of the payer and should be paid in addition to the total fee.
Personal data
Data collected through an application process (hereinafter: Application) of the EWIC2026 can be considered as personal information and subject to protection under the Regulation (EU) 2016/679 of the European Parliament and of the Council of April 27, 2016 on the protection of natural persons with regard to the processing of personal data and of the free movement of such data, and repealing Directive 95/46/EC (General Dana Protection Regulation) and national legislation that defines the General Data Protection Regulation implementation.
The personal information received in the Application for the EWIC2026 is stored safely in PENTA, doo, Zagreb, Isidora Kršnjavoga 25, OIB: 31375495391 (hereinafter: Penta), and by the registration itself each participant is obliged to confirm that their data may be used for the purpose of organizing the EWIC2026. In the event that the participant does not enter the requested personal information in the application, he will not be able to apply or participate in the EWIC2026.
By signing, you acknowledge that your information is listed in the Application as true and correct and that you are familiar with the purpose of their collection and processing.
Furthermore, you acknowledge that you are aware of the right to process at any time from the joint data processor, that is, from each of them you may request access to your personal information, correct or delete your personal data or restrict the processing, and the right to the transferability of your data.
Your rights in relation to the Penta and EWIC2026 as data processor can be accomplished by submitting the request to the following e-mail address: rh.bergaz-atnep@atnep.
The Joint Data Processor and Penta as a processor executive apply appropriate technical and organizational measures to ensure that your personal information is secure and protected from unauthorized access, misuse, detection, loss or destruction. Joint Data Processor and Penta as Processor Executive protect your privacy and keep the confidentiality of your personal information collected in accordance with the application. Joint Data Processor will not forward or exchange your personal information with third parties or use it for any purpose except for the purpose stated in the Application. Your Personal Information is forwarded to Authorized Recipients solely for the purpose of exercising the rights and obligations arising from participation in the EWIC2026. The List of Authorized Recipients will be updated regularly and will be published on the penta-pco.com protected site. The Data Processor Executive stores deletes or returns your personal data to the Joint Data Processor, in accordance with the order of the individual data processor.
Other information
Please note that photographs and footage will be taken throughout the EWIC2026. Please contact the event organizer if you have any concerns or if you wish to be exempted from this activity.
By applying to the EWIC2026, the participant is aware that Penta and Joint Data Processor will process the photos taken during the EWIC2026 to use for their internal and promotional purposes to promote the EWIC2026 as their legitimate interest.
The organizer reserves the right to change the general conditions.
